Phone System Audit Services
Older phone systems are sometimes still billed under an expired lease or covered under an expensive service contract. We will provide a review of your phone system costs and determine if a revised service contract would lower your monthly costs.
Audit/Optimization Process
Most clients will realize an average cost reduction of 15%-25% by implementing our recommendations. WayComm guarantees that your actual savings will be within 1%-3% of our estimate each month. The following is our phone/broadband system audit process:
- Thorough review of all telecom contracts. WayComm will review your landline and phone system contract terms and conditions, document contract rates, termination dates, and the termination notification process including the required dates.
- Obtain customer service records & document billing accounts. WayComm will document all accounts, rates, fees, and taxes for fixed-rate monthly services. If applicable, rates will be validated against current contracts and billing will be reconciled against customer service records to identify billing errors. We will also document all services including telephone numbers, broadband and Internet services, circuit numbers, pagers and paging services, calling cards, and maintenance agreements.
- Conduct billing & utilization analysis. The billing analysis includes the calculation of the actual billing rates for local, regional, in-state, interstate, and international calling for both outbound, and inbound 800 services. We will document all surcharges, fees, and taxes. The minimum and fractional billing increments for each metered usage service will be documented as well. If applicable, all information will be validated with the current supplier contract.
WayComm will also analyze individual line utilization. We produce a line study report (report of how much each line is used for outbound calling) by location. Underutilized or unused services will be identified. We will analyze and document all inter-office calling. On completion of the above processes a report is produced that documents current telecom costs (baseline). Accuracy is within 1% to 3% of actual current billing.
- Notify suppliers of billing errors. WayComm will notify suppliers of billing errors found and negotiate and obtain appropriate refunds for client.
- Deliver telecom cost savings recommendations. WayComm will make recommendations that offer best cost pricing that can be implemented with minimal disruption to the client’s business.
- Implementation of Recommendations
On client approval we will implement and manage any required changes:
- Obtain any necessary supplier contracts, review for accuracy, and present to client for approval.
- Identify and arrange for all required services for implementation; select vendors (client's incumbent vendors always are the first choice), inform of implementation of the project, coordinate and communicate project schedules and all required specifications and information.
- Provide technical support as required during
- Post-Implementation and 24-Month Telecom Review Service. WayComm will review the new billing, verify accuracy and validate savings. We will close accounts with any/all former suppliers and review final bills for accuracy and produce a savings report – accuracy will be within 1%-2% of actual billing from suppliers. We will review all supplier invoices monthly for 24 months and provide technical support/assistance with all service problems at no charge for 24 months.
